How to create an invoice in 5 steps

  1. Add your details. Enter your name or company under "Bill From", choose whether you're a business or an individual, and select your country. The editor automatically shows the fields that are required where you're based.
  2. Add your client. Fill in their details under "Bill To" and select their country. If it's a cross-border B2B sale within the EU, the tool detects it and asks how VAT should be handled.
  3. List what you're billing. Add line items with a description, quantity, rate, and tax rate. Subtotal, taxes, and total are calculated for you – including discounts if you use them.
  4. Make it yours (optional). Upload your logo, pick a style, font, and color theme, set your currency, and adjust the date and number format.
  5. Preview and download. Hit Preview to see the finished invoice, then Download and pick one or more formats: PDF, ZUGFeRD, Factur-X, or Peppol XML. One invoice per day is free – no account needed.

You can select several formats in a single download – for example a classic PDF for your records plus a Peppol XML for your client. Each format has its own validator: the PDF has the fewest requirements, while e-invoice formats check everything the standard demands (addresses, tax breakdown, payment data, references) before you export.

It also works in the other direction: upload an existing XML e-invoice (Peppol BIS, UBL, XRechnung, Factur-X, FacturaE, or ZUGFeRD) and the editor prefills all fields from it. Handy for editing, re-issuing, or converting an invoice from one format to another.

Built for real tax rules, not just nice layouts

The moment you pick your country and your client's country, the generator adjusts what's required and how VAT is treated:

  • Normal VAT – standard rates, editable per line item, calculated either on top of the subtotal (exclusive) or included in your prices (inclusive).
  • Reverse charge – for most cross-border EU B2B sales. Tax is locked at 0%, both VAT IDs are required, and a legally worded note referring to Article 196 of the EU VAT Directive is added automatically (you can edit it).
  • VAT exempt / no VAT – for small businesses below the VAT threshold or exempt services, with a mandatory exemption note that appears on the invoice and inside exported XML files.

Cross-border EU B2B constellations are detected automatically, and the tool suggests the right treatment – you always keep the final say.

Customize everything down to the last label

Every label on the invoice is editable. Rename "Invoice", "Qty", "Rate", or any other text, which also means you can write invoices in any language, regardless of the interface language. Beyond that you can:

  • upload a logo and adjust its size,
  • switch between a Simple and a Modern style – Modern adds color accents and a signature block with an uploaded signature image, your name, and your role,
  • change the font, color theme, and date format,
  • use any currency, including a custom symbol and its position, plus your preferred decimal and thousands separators,
  • show or hide the quantity, rate, and tax columns – hidden columns still count toward the totals,
  • add extra fields like email, phone, VAT ID, tax ID, registration ID, or fully custom fields,
  • add a service period, notes with a custom title, and a footer for bank details and contact info,
  • create multi-page invoices on A4 with page numbers, repeated invoice number and date, and a footer on all pages or only the last one.

Discounts, payment details, and references

Discounts work on two levels: a global discount (percentage or fixed amount) on the whole invoice, and optional item-level discounts with their own column, where each line can switch between percentage and fixed. Subtotal, tax, and total update instantly.

For e-invoices, you can attach structured payment details – choose card, cash, other, or bank transfer, which opens fields for account holder, bank name, account number, routing number, IBAN, and BIC/SWIFT – plus payment terms like "Net 30 days". These are embedded in the exported XML so your client's software can process the payment automatically. References (buyer reference, purchase order, contract, project) and Peppol endpoints (scheme and ID for seller and buyer) are supported too; several of them are mandatory for certain Peppol invoices, and the validator tells you exactly when.

What's free and what's premium

One invoice per day is completely free, in any export format, including all the tax and e-invoicing logic. There's no account and no subscription.

Premium unlocks the design and productivity extras: your company logo, signature, custom fonts, colors and styles, discount options, and downloading multiple invoices in one go. It's a one-time payment per download – additional invoices in the same batch get cheaper, and there's no recurring charge of any kind. If you'd rather not pay, one click removes all premium features and you can download the free version instead.

FAQ

Is this invoice generator really free?

Yes. You can create and download one invoice per day for free – in any format, including e-invoices. Only the premium design features (logo, signature, custom styling, discounts, bulk downloads) require a one-time payment. There is no subscription and no account.

Do I need to create an account?

No. The generator runs directly in your browser. Your current invoice is autosaved as a draft on your device, so you can close the tab and continue later.

Which formats can I download my invoice in?

What is an e-invoice?

An e-invoice is an invoice issued as structured, machine-readable data (based on the European standard EN 16931) rather than just a PDF or paper document. Accounting software can read and book it automatically. E-invoicing is becoming mandatory step by step across the EU – in Germany, for example, businesses must be able to receive e-invoices since 2025, and France is rolling out its own mandate. This generator creates compliant e-invoices without any extra software.

What's the difference between ZUGFeRD and Factur-X?

Technically, they're the same standard: a normal PDF with an embedded XML file containing all invoice data. ZUGFeRD is the German name, Factur-X the French one. Your client sees a regular PDF, while their software reads the XML.

What is Peppol, and what are endpoints?

Peppol is an international network for exchanging e-invoices and other business documents, widely used by public-sector buyers and increasingly in B2B. Every participant has an endpoint – a scheme plus an ID (for example 9915:123456789) – that identifies them on the network. You can enter both the seller and buyer endpoint in the advanced settings.

How does reverse charge work here?

When the tool detects a cross-border EU B2B sale, it recommends reverse charge: VAT is set to 0%, both VAT IDs become required, and a note referring to Article 196 of Council Directive 2006/112/EC is added automatically. You can edit the wording if needed.

Can I write invoices without VAT as a small business?

Yes. Choose the "VAT exempt / no VAT" treatment. Tax fields are locked at 0% and you add a short exemption note (for example referring to your country's small-business scheme), which appears on the invoice and in exported XML files.

Can I create invoices in my own language and currency?

Yes. Every label on the invoice is editable, so the invoice itself can be in any language. You can use any currency – including a custom symbol and its position – and set decimal separators, thousands separators, and the date format to match your country's conventions.

Can I edit or reuse an invoice later?

Your work is autosaved as a draft in the editor, and the duplicate button copies an existing invoice for the next billing cycle. You can also re-upload any exported XML e-invoice later and the editor will prefill all fields from it.

Are the invoices legally valid?

The generator builds invoices along the European e-invoicing standard EN 16931 and adds country-specific checks (for example the required notes for reverse charge or VAT exemption). You remain responsible for the accuracy of the data you enter, and this tool doesn't replace tax advice – when in doubt, check with your accountant.
